Each year we have clients that wish to send us their tax documents electronically. Email is not secure enough for transmitting these documents. Our office policy does not allow us to click on any links in an email. We require all attachments be downloaded to an external source and virus scanned before they can be opened.
We recommend DROPBOX to use to share files with us. DROPBOX is a file hosting service that offers cloud storage. DROPBOX BASIC comes with 2GB of storage space and is free. You set up your account, create a folder, and share the folder with us via invitation to our email. Anything in the shared folder can be seen by all that are invited to share it. Each party can upload and download documents to that folder. You can upload your documents into the folder, notify us, we download them and then you can remove them from the folder. Please follow this system when naming your shared folder – “YOUR NAME – KOB CPA”. If every client simply named the folder KOB CPA, although you would have 1 of them, we would have over 300+ of shared folders with the same name.
We strongly recommend that you DO NOT email us any sensitive identifying documents. We do have a dedicated fax line – (330)468-2587. Please use it when necessary. We will not send you any sensitive identifying documents through email. When you ask us to send you documents, we will request you open a DROPBOX account.
We will not send your tax documents to any third party. We will only get them to you and you will be responsible for getting them to the third party.
Finally, we supply you with paper copies of the returns we prepare. If you know you need these copies electronically, please notify us before hand and set up your DROPBOX account so we can upload the returns when they are complete. Just remember if you only receive your returns via DROPBOX, all electronic files still need to be addressed, reviewed, signed and returned.
